Office Policies

Mount Vernon Internal Medicine (MVIM) is dedicated to providing you with the best patient care. The first step in this process is to make sure you understand our practice’s policies and procedures.

Appointments: MVIM understands that sometimes events in life would mean that you need to cancel or reschedule your appointment. Whenever possible, please cancel or reschedule your appointments with 24-hour notice. If for some reason you are unable, your appointment could be considered a No Show that comes with a fee of $50 for primary care and $100 for specialists or imaging in office. Frequent no-shows/missed appointments may result in discharge from the practice. If you are active on your patient portal, you may cancel or change your appointment easily.

A 10-minute grace period is provided for all scheduled appointments. Every effort will be made to accommodate your appointment if another provider and/or appointment slot is available. If there are no available appointments slots for the same day you will be rescheduled for another day.

Phone and Portal messages: We do our best to return messages promptly. Please be aware that routine, non-urgent messages may be returned within 48-72 hours. If your question is complex and clinical in nature, we strongly urge you to schedule an in-person or virtual appointment.

Payment Policy: All copayments must be paid at the time of service. This arrangement is a part of your contract between you and your insurance company. Coinsurance and deductible balances will be billed to you once your insurance processes the claims. If you fail to pay any outstanding balances within 90 days, your account will be sent to collections. If you fail to pay balances or make payment arrangements, you will be discharged from the practice.

Paperwork Fees: All paperwork needing to be filled out will require an appointment. If the appointment is just for the paperwork, there will be a $25 fee associated that will be your responsibility. If you are seeing the provider for an appointment and also need paperwork filled out, you will be responsible for any copay, coinsurance and/or deductible and the $25 paperwork fee. Depending on the complexity of the paperwork, it may be completed after the appointment.

Code of Conduct: We will always treat our patients, families, vendors and other visitors with the utmost respect and dignity. We would expect the same from our patients and visitors. Disrespectful language or behavior will result in dismissal from the practice and the premises.
